Position: Fellows Program Administrator

Compensation: $4,550 -$6,370/month (commensurate with experience)

Position Summary:
Reporting to the Fellows Program Director, the Fellows Program Administrator is responsible for managing the operations and logistics of Progressive Turnout Project’s (PTP) 2024 Campaign Fellows program, which embeds voter contact-focused staffers (i.e. Campaign Fellows) on state and federal Democratic campaigns. This includes:
Working across departments to organize, track, and summarize the selection, enrollment, participation, and direct voter contact (DVC) metrics of Fellows
Providing daily attendance reports and weekly DVC metrics reports
Scheduling and sending mail merge emails through Gmail
Sending, receiving, and organizing documents using Adobe Acrobat, Workable (our Applicant Tracking System), and Google Drive
You will be a good fit for this role if you are self-motivated, detail oriented, capable of accurately organizing and analyzing data from spreadsheets, and proficient in Google Sheets. Interviews for this position will be scheduled virtually. This position will require travel to Chicago the week of June 10, 2024.

Responsibilities:
Identify, manage, and aggressively track all aspects of the Campaign Fellows program, utilizing multiple sources of data and stakeholders to provide accurate daily reports and status updates
Understand, implement, and utilize systems for disseminating important information to Campaign Fellows and targeted campaigns or state parties
Compile and organize DVC metrics by individual Fellows, state, district, and/or campaign/program using pivot tables in Google Sheets
Use Google Docs, Adobe Acrobat, and Workable (our Applicant Tracking System) to download and organize documents in Google Drive
Create, manage, and update Google Groups
Setup recurring Google Meet events with settings to regularly collect and track attendance
Use Workable (our Applicant Tracking System) and Google Voice to create and manage messaging to Fellows
Manage program issues in a way that brings disparate stakeholders together to resolve issues and complete action items that contribute to the success of the program
Other responsibilities as assigned
Qualifications (You will be a good fit if):
You are proficient in Google Sheets, Google Forms, Gmail Mail Merge, Google Calendar, Google Drive, and Google Voice
You are exceptionally well organized with intense attention to detail and process
You often approach high-pressure situations with patience, courtesy, and respect and know when there is a need to escalate high priority issues to leadership
You consistently deliver solutions in a creative and imaginative manner while setting a standard for others
You have strong time-management skills with the ability to manage multiple projects and competing priorities simultaneously under strict deadlines
Preferred Qualifications (Not required but helpful):
At least 1 year of project management, administrative assistant, data analyst or equivalent data-focused experience that has contributed to advanced knowledge of Google Sheets
At least 1 cycle of democratic campaign experience that has contributed to knowledge about DVC metrics
