Amethyst Operations is a People and Operations firm that specializes in providing day-to-day support and project completion for organizations seeking greater operations capacity. Amethyst seeks to bring People and Operations expertise to all sorts of entities that may not otherwise have the ability to build a robust, experienced operations function in-house. We work with political organizations and ideologically aligned entities throughout the country, and we have a remote first culture.

Job summary

The Administrative Assistant will report to Amanda Qualls, Partner, and they will work closely with all other members of the Amethyst team. The Administrative Assistant will provide support to client services team members to ensure that tasks are appropriately saved in Amethyst’s task management system, notes are updated, and client queries are responded to in a timely manner. The Administrative Assistant must be organized, detail-oriented, have strong problem-solving abilities, and have an eye for catching errors and creating efficiencies. They will balance both recurring tasks and attend to unscheduled needs, learning and growing along the way.

Job duties

As the Administrative Assistant, you will:

  • Support the organization by regularly reviewing client documents to translate notes into actionable tasks within Amethyst’s task management system, Asana.

  • Monitor Amethyst’s client email groups, responding to clients and translating requests into action items.

  • Follow up on tasks within Asana, ensuring that actions are completed in a timely manner and updated accordingly as circumstances change.

  • Assist partners in creating and maintaining a secure, organized, digital document-storage system.

  • Monitor the Amethyst phone number and respond to or route calls as needed.

  • Support the team by scheduling and rescheduling meetings.

  • Complete data entry in Amethyst’s time and expense tracking system, Harvest, for client expenses and employee collaborative meetings.

  • Fax and mail client forms when paper or fax responses are required by state and federal reporting entities.

  • Assist the partners in planning special projects, such as client retreats.

  • Perform other administrative support duties, as assigned.

Qualifications

The Administrative Assistant will be:

  • Curious—they will enjoy learning, and they will seek to understand the challenges that our clients face.

  • Organized—they will build on existing internal systems while also building the additional layers they need to perform their best. At Amethyst, we use Asana for task creation and project tracking, Slack to communicate, and a variety of other tools to meet our needs.

  • Communicative—The Administrative Assistant role is one that is based on facilitating and encouraging communication in multiple formats (written, verbal, etc). 

  • Detail-oriented—Amethyst’s work lives in the details, from ensuring accurate payrolls to building clear and comprehensive policies.

  • Flexible—Amethyst is sometimes called to reallocate resources to address client needs. The Administrative Assistant must be able to pivot, as needed, throughout the week.

  • Tech-savvy—You don’t need to know all of the systems we use—Harvest, Slack, Asana, Loom, etc.—but you must have the ability to quickly learn new technologies.

  • While this is not a requirement, this position would be well-aligned with a morning person! Someone who will enjoy doing the organizational work before client meetings start, which tends to be between 9:30 and 10:30 am eastern time.

Compensation and benefits

The starting salary for this role is $50,000. As Amethyst is a ‘bring your own device’ workplace, new employees are eligible for technology reimbursement up to $1,500 to secure the necessary technology to perform their job. This reimbursement must be submitted within 30 days of the start date.
