Who We Are:
DJs at the Polls is a national, non-partisan get-out-the-vote initiative that turns on the music to turn out the vote. We make Election Day a celebration by hiring local DJs to bring music to polling places around the country.
What You’ll Do:
DJs at the Polls is seeking to ** IMMEDIATELY HIRE** an Administrative Manager to support our election official outreach efforts and assist the State Project Managers in managing the administrative aspects of our initiative. This role will involve tracking and initiating outreach to election officials, managing the outreach cycle, and ensuring all communications and logistics are organized efficiently. The Administrative Manager will play a critical role in streamlining our efforts, allowing State Project Managers to focus on direct engagement and event planning.
As an Administrative Manager, you will:
Manage Outreach Efforts:
Track and initiate outreach to election officials, ensuring timely and organized communication.
Maintain a detailed outreach calendar and database, tracking all contact points, follow-ups, and responses.
Coordinate with State Project Managers to align outreach efforts and ensure consistent messaging across all states.
Document and Process Management:
Develop and maintain documentation for outreach processes, protocols, and templates.
Ensure all documents related to outreach, DJ recruitment, and event logistics are accurately filed and easily accessible.
Data and Communication Oversight:
Oversee the data entry and management for outreach-related information in internal databases.
Who You Are:
An experienced administrative professional with a strong background in project management or similar roles.
Exceptionally well-organized with an eye for detail and process improvement.
Able to prioritize tasks, manage multiple projects simultaneously, and ensure timely execution of deliverables.
A proactive problem solver with excellent communication skills and the ability to work independently.
Skilled in Google Suite and other project management tools (experience with Slack is a plus).
Comfortable working in a fast-paced, high-pressure environment and can adapt to changing circumstances.
Willing to work flexible hours and meet tight deadlines, especially as Election Day approaches.
You are able to build authentic relationships across lines of difference, such as race, ethnicity, sexual orientation, class, ability, gender identity, or other identities.
Compensation:
The Administrative Manager role is a temporary, part-time position, beginning ** immediately** and running through November 15, 2024.
Pay is $30-35 per hour, based on experience, for approximately 20-25 hours per week, with the potential for full-time hours for the right candidate. Please indicate in your application if you are seeking full or part time employment.
