JOB DESCRIPTION

About the Position: This is a mid-level finance role that will report to the campaign’s Finance Director or Deputy Finance Director. The Call Time Manager’s job is to ensure that the candidate successfully executes the fundraising plan and assists with donor communication to follow up on commitments and conversations. The Call Time Manager is responsible for directing, managing, and providing all support for the candidate’s call time including: assure all calls are ready for call time by researching and producing accurate profiles, prioritize and manage all call lists, create all briefing materials on donors; sit with the candidate during call time and ensure swift and effective execution of fundraising goals; log all activity in NGP and Numero (database systems); and ensure completion of all donor follow-up — either directly or by managing the candidate to reach out to donors, as warranted. 

 

Job Responsibilities: 

  • Managing and executing the call time program. This includes:

  • Directing, managing, and implementing all aspects of the candidate call time operation including meeting assigned goals, creating call sheets, organizing outreach, staffing and coaching principals, tracking results, and managing data. 

  • Directing and managing donor and prospect call time follow up including scheduling future calls, pledge chase, and relational outreach. 

  • Completing research on donor prospects and managing the prospecting program. 

  • Reporting out daily results of call time including actual donor contact, hard and soft pledge totals, and overall performance statistics.

  • Assist with drafting donor fundraising email and communications as needed.

  • Preparing and prioritizing scheduling calls for the principal.

  • Ability to provide coaching and feedback to the principal during call time. 

  • Managing the finance assistant and paid intern program, as the overall fundraising program grows. This includes:

  • Providing coaching and feedback to the finance assistant as needed.

  • Providing coaching and feedback to interns on donor research, reviewing their work regularly, and providing constructive feedback to improve intern research quality. 

  • Prioritizing short-term and long-term projects to allow for continued success and growth of the call time program 

  • Working non-traditional hours, as needed.

  • Travel with the candidate, as needed.

  • Collaborating with the compliance team and finance director, as needed.

  • Other duties as assigned.
