General Description:

Chispa, a program of LCV, works to ensure that Latine communities and leaders have a strong voice in the movement for climate justice and within the environmental movement and influence the environmental policies and decisions that impact our health and environment. Based in the Community & Civic Engagement department, Chispa has programs in Arizona, Colorado, Florida, Maryland, Nevada and Texas.  

LCV is hiring an Organizing Administrative Associate who will work closely with the Chispa National Senior Director, Vice President of Organizing, and other Chispa National team members on oversight of administrative tasks, logistics, and systems to support the management of the CCE Organizing Programs. The ideal candidate is skilled in building and maintaining systems, highly organized, and attentive to details. The Administrative Associate will join the CCE Organizing team, which is committed to fighting for federal solutions to environmental injustices and works to build and support the capacity of state teams to build leadership and shift the power of communities of color.

Responsibilities:

  • Lead administrative matters in coordination with the CCE Organizing Team to support program management, including but not limited to managing the central program calendar, coordinating logistics and scheduling, as needed, supporting events, making travel arrangements, handling RSVPs for events, and organizing pre-meeting materials.  

  • Develop and/or maintain tracking systems, tools, and structures that organize electronic files, grants management and evaluations and other key reports and materials for the Chispa program.

  • Provide office support for the Chispa NV and Chispa TX offices. Work with the LCV Operations team and the Community and Civic Engagement Associate to support basic office-related needs such as internet service provider accounts, office equipment, supplies, and furniture purchases.

  • Support Chispa National Senior Director in coordinating administrative support for state teams, including but not limited to buying supplies, ordering swag for the programs, grants management administrative needs, and serving as the liaison between states and National Director, as needed.

  • Work with Chispa National Senior Director on financial operations such as keeping track of account balances and Chispa program budgets, payments to vendors and purchases from other Chispa staff. 

  • Serve as Chispa’s liaison to coordinate with the Community & Civic Engagement Associate on processing and approval of relevant contracts and payment requests with vendors.

  • Serve as liaison between the Chispa leadership team and other staff regarding administrative needs and tasks. 

  • Work with departmental staff to achieve annual racial justice and equity goals, including, but not limited to, ensuring processes center communities disproportionately affected by environmental harms and taking into account accessibility needs when bringing community into shared spaces.

  • Support new staff onboarding for Chispa-related administrative processes and procedures.

  • Travel up to 10% of the time for inventory and office management for Chispa state offices on a quarterly basis, staff retreats, conferences, and professional development opportunities, as needed.

  • Perform other duties as assigned.

Qualifications:

  • Work Experience: _Required – _Minimum 1 year of administrative experience. Experience working with databases. Experience with scheduling. Experience managing several tasks/ projects concurrently and prioritizing work effectively. Preferred – Experience working in organizing movement-building efforts. Experience developing and overseeing tracking systems and tools for program progress and management. Experience with planning virtual meetings. Experience working with external vendors.

  • Skills: Required – Proficient in Microsoft Word, Excel, PowerPoint, and Google Suite. Excellent written and verbal communication skills. Strong organizational skills. Ability to partner and collaborate with the existing Chispa National team. Work well in a fast-paced environment and be able to multitask without sacrificing the quality of work. Ability to work independently and in a team setting. Reliable, consistent, detail-oriented, and self-motivated. Preferred – Fluency in EveryAction. Familiarity with the IRS rules regarding 501(c)(3) and 501(c)(4) organizations. Ability to troubleshoot common technology issues.

  • **Working Conditions: **This job operates both in a professional office environment and in outdoor and indoor public spaces, and the person will be exposed to outdoor elements such as precipitation, wind, and high/low temperatures. This position is occasionally sedentary; however, attending meetings and canvassing out in the communities is also frequently required. The person in the position will frequently be expected to move about to accomplish tasks and move between sites. This position routinely uses standard office equipment such as computers, phones, photocopiers, and audiovisual systems. The person in this position frequently communicates with community members and must be able to exchange accurate information. Ability to occasionally work evening and weekend hours, as needed. Position requires a valid driver’s license and liability insurance or access to reliable transportation. Applicants need to be located in and legally authorized to work in the United States.
