Position Summary:
The Director of Finance & Administration is a key member of JCPA’s senior leadership team and is responsible for the financial stewardship and operational integrity of the organization. The Director of Finance & Administration oversees all accounting, budgeting, audits, financial reporting, and internal controls, and manages essential administrative and operational functions including payroll, benefits, vendor contracts, and systems that support organizational effectiveness. The Director of Finance & Administration serves as a strategic advisor to the President/CEO, the Treasurer, and the Board’s Finance and Audit Committee.
Key Responsibilities:
Financial Management and Accounting:
Responsible for all accounting, financial reporting, budgeting, and cash flow management including preparation of financial statements in accordance with nonprofit accounting Standards (GAAP)
Oversee independent audit and serve as liaison to Audit Committee. Prepare all financial reports and schedules necessary for audit review and inclusion in audit report and IRS 990.
Lead the annual budgeting process with support from senior management. Responsible for the presentation to Finance committee and Board for approval.
Monitor actual performance against budget and prepare revised forecasts when appropriate. Review and maintain strong internal controls and financial policies.
Payroll, Benefits & HR Administration
Responsible for management and processing of payroll and maintenance of employee records.
Manage payroll tax reporting, including W-2 ,1099’s and related year end filings.
Oversee and monitor all employee benefits including healthcare and act as administrator for 403B Plan.
Support HR functions related to hiring and onboarding.
Oversee management and compliance with the Employee Manual in collaboration with senior management.
Contracts, Vendors & Operations
Review, maintain, and negotiate all office contracts and vendor relationships.
Serve as primary point of contact with insurance brokers and manage insurance-related claims or document requests.
Conduct periodic cost analyses to identify needs and efficiencies.
Serve as administrative coordinator for IT support and software.
Grant Reporting and Development
Prepare financial information for grant proposals and funder reports.
Ensure compliance with IRS and grant requirements.
Track restricted and unrestricted fund use for proper reporting.
Support staff in tracking grant reporting requirements and deadlines
Leadership, Board Support and Governance
Advise the CEO on financial strategy, planning, and risk management as required.
Serve as financial advisor to the Treasurer of the Board of Directors.
Prepare financial reports and presentations for the Board and its committees.
Manage all aspects of Finance and Audit Committee meetings, including agendas, materials, and follow-up
Qualifications:
At least 8 years of financial management experience, preferably in a nonprofit environment.
MBA or CPA preferred.
Experience with QuickBooks required.
Experience in a fast-paced, mission-driven organization.
Passion for democracy, pluralism, and the values central to JCPA’s work.
Demonstrated experience with HR functions is a plus.
