Starting Salary: $52,000-$60,000
Job Summary
End Citizens United is seeking an Executive Assistant to work closely with the President and executive leadership team to provide high-level administrative and operational support. This role will ensure the smooth functioning of the executive office by managing scheduling, correspondence, and cross-departmental coordination.
This role is an entry-level position; successful candidates will be self-starting, organized individuals with a passion for democracy reform.
Primary Responsibilities
Responsibilities include, but are not limited to:
Manage the President’s calendar, including scheduling, prioritizing requests, coordinating logistics, and ensuring preparedness for meetings, calls, and travel.
Provide executive-level administrative support to the President and senior leadership team, including correspondence, meeting preparation, and follow-up.
Draft, edit, and prepare materials such as briefings, reports, presentations, and donor communications for executive use.
Coordinate internal and external meetings, fundraising events, and trips, ensuring all details are handled with discretion and accuracy.
Serve as a point of contact for donors, vendors, and external stakeholders, ensuring professional and timely communication on behalf of the executive team.
Monitor and manage shared inboxes and general inquiries, routing and responding as appropriate.
Maintain and organize departmental records, trackers, and databases in coordination with the Development and Compliance teams.
Support the review and approval process for external fundraising communications (direct mail, email, text).
Conduct donor and prospect research and prepare solicitation and stewardship materials as requested.
Assist with cross-departmental coordination, helping move projects forward and keeping leadership informed of progress and deadlines.
Manage departmental administrative functions including correspondence, mail processing, filing, and vendor communications.
Handle special projects and other duties as assigned to ensure the efficiency and effectiveness of the executive office and Development Department.
Qualifications
To be successful in this role, the Development Assistant should possess:
Proven organizational and time management skills, with the ability to balance multiple priorities in a fast-paced environment.
Strong written and verbal communication skills, with attention to detail and accuracy.
Excellent interpersonal skills and the ability to build strong working relationships with staff, leadership, and external partners.
Discretion and sound judgment in handling sensitive or confidential information.
Proficiency with Google Workspace (Docs, Sheets, Slides, Calendar) and Microsoft Office Suite.
A proactive, self-starting approach with the ability to anticipate needs and take initiative.
Commitment to the mission of getting Big Money out of politics and protecting the right to vote.
Preferred Qualifications
Prior experience providing administrative or scheduling support to executives or senior staff.
Familiarity with database systems and comfort learning new tools and technologies.
Experience coordinating meetings, events, or travel logistics.
Background in nonprofit, campaign, or political organizations.
Knowledge of compliance or campaign finance regulations is a plus.
