JOB DESCRIPTION

Job Title: Executive Coordinator

Location: Hybrid in Austin, TX or remote

Start Date: March 2025 

Compensation: $60,000 - $75,000 annually (including healthcare stipend), commensurate with experience and qualifications.

 

The Opportunity: As Executive Coordinator, you will support the Founding Partner by being on the frontline of their scheduling, administrative coordination, and task management. This includes event invitations, meeting requests, all correspondence by email and phone, and special projects. This high-level involvement in the Founding Partner’s schedule and inbox will require organizational skills, the ability to multitask, and boundary setting proficiency. The Executive Coordinator will own the responsibilities of logistical coordination on the Founding Partner’s behalf, and will ensure their attendance and preparation for high level meetings and events. 

The person in this role will also coordinate meetings and task management between the organization’s team of consultants, and overlaps with many aspects of the fundraising, digital, political, and communications programs.

This role is integral to our initial success as a new organization. The success of the Founding Partner relies on support from and success of the Executive Coordinator. 

 

About the Agave Fund: The Agave Fund, launched in 2023, is a research and scaling hub focused on strengthening the Democratic ecosystem in Texas. In 2024, the Agave Fund made targeted, high-leverage investments in pilot programs designed to both improve 2024 electoral outcomes and inform a longer-term multi-cycle strategy. Job Responsibilities:

• Own the Founding Partner’s calendar — manage an ongoing list of scheduling priorities, and arrange meetings and incoming requests.

• Lead the Founding Partner in daily morning check-ins to respond to messages as well as review the purpose and goal of each meeting on the calendar that day.

• Manage the Founding Partner’s email inbox and other correspondences ensuring prompt replies are sent.

• Coordinate travel arrangements and logistical details during any trips.

• As needed, travel with the Founding Partner assuring his attendance at all meetings and ability to complete tasks while on the road as needed.

• Conduct research to support Agave’s key priorities, including fundraising, digital, political, and communications.

• Execute the Founding Partner’s administrative tasks as needed.

• Attend Founding Partner + weekly department meetings to take notes and catalog follow up.

• Coordinate and assist other departments as needed.

• Coordinate and manage the administrative functions of the Founding Partner’s role at the Agave Fund.

 

Required Skills and Qualifications:

• Experience handling a high volume of incoming and outgoing correspondence.

• Demonstrated ability to handle incoming information from several mediums while remaining incredibly organized and establishing time to look ahead and potential scheduling issues.

• Must have experience balancing competing priorities and deadlines in addition to recognizing one’s own capacity and when to say no.

• Able to handle multiple calendars with the intention of looking ahead to avoid overlaps.

• Must have the ability to navigate multiple sources of confidential information with discretion.

• Ability to take and implement feedback.

• Excellent written and verbal communication skills, with the ability to communicate effectively across diverse audiences and platforms.
