Zinc Collective’s mission is to help deliver persistent Democratic majorities. We focus on running and funding programs, primarily at the federal level (House, Senate, Presidential) that retain and recruit talent and/or address infrastructure gaps across Democratic politics. Our three core programs are DigiDems, which embeds technology staff on competitive campaigns to help them win, Blue Leadership Collaborative, which creates the diverse campaign talent pipeline necessary to building Democratic majorities, and Zinc Labs, which serves as an incubator for the next generation of democratic tech tools and solutions.

POSITION SUMMARY

Zinc Collective is currently seeking a Finance Coordinator to join our diverse and high performing team. Reporting to the Director of Budget & Finance, the Finance Coordinator will ensure all administrative processes are in place for Zinc Collective and its supported organizations to manage and track their spending. They will be responsible for implementing a streamlined process for payroll, bill pay and vendor management, and expense management. This is a great opportunity for someone who is exceptionally detail-oriented, organized, passionate about Democratic politics, and eager to use their skill set to affect change in the Democratic space. Limited travel is required for this position.

ESSENTIAL RESPONSIBILITIES

This position supports Zinc Collective and organizations that contract Zinc Collective to provide financial management services.

  • Support financial processing and data management, ensuring records are organized, updated, and accurate including:

  • Contract Revenue & Receivables:

  • Preparing and tracking invoices and receivables

  • Support expense processes including:

  • Prepare semi-monthly payroll for multiple entities

  • Supporting with administrative filings for multi-state payroll

  • Review and ensure appropriate documentation for monthly expense reports across multiple entities including employee reimbursements

  • Review and prepare invoices for payment:

  • Review invoices for appropriate documentation prior to payment

  • Perform invoice data entry

  • Support vendor management, prioritizing strong customer service and responsiveness:

  • Onboarding and setup including W-9 collection and bill.com setup

  • Support with contract execution and tracking

  • Regular processing of of invoices / payments

  • Addressing vendor questions as needed

  • Organize and maintain financial and compliance documents in an organized GoogleDrive

  • Assist with compliance and administrative tasks including audit and 990 preparation, 1099 preparation, and other annual filings

  • Help to develop and enforce financial policies and procedures, ensuring adherence to regulatory requirements, and internal controls and policies

  • Other duties as assigned

 

THE SUCCESSFUL APPLICANT MUST DEMONSTRATE THE FOLLOWING EXPERIENCE AND SKILLS: 

  • Has least three years of experience in a finance, operations, or payroll role in a fast-paced environment

  • Outstanding attention to detail and strong time management skills

  • Is an organized, driven self-starter who can work well under pressure, with a variety of people, and on multiple projects 

  • Proven ability to master and learn processes and platforms quickly, analyze data, and synthesize information

  • Ability to manage a project through day-to-day requirements, duties, and deadlines

  • Comfortable owning a variety of deliverables, working independently, hitting deadlines, and being held accountable

  • Excellent problem-solving skills, time-management, and organizational skills

  • A proven record of being detail-oriented,efficient, and tech savvy

  • Familiarity with Zoom, Google Workspace, accounting, and payroll software

  • Experience managing sensitive information with professionalism and complete confidentiality

  • Experience managing up and across teams
