About the Role

We are seeking an experienced organizer to support and strengthen New York’s statewide Election Protection infrastructure and volunteer management.

 

This role will provide dedicated organizing, coordination, and communications capacity to an existing network of organizations working across New York with an emphasis on upstate New York to support voters, election workers, and election administration. The Organizer will help ensure that partners across the state are connected to the information, training, resources, and rapid-response infrastructure they need throughout the election cycle and that our volunteer management system is properly functioning.

 

The ideal candidate is a strong relationship builder and volunteer manager who is equally comfortable onboarding a new coalition partner, ensuring volunteers are properly trained and supported, managing a fast-moving Signal thread, translating national guidance into actionable information for New York organizations and volunteers, and helping coordinate a rapid response when an election-related issue emerges.

●      You are an experienced organizer or campaigner who knows how to keep a diverse network of organizations managing far-flung volunteers informed, engaged, and moving together.

●      You understand that strong Election Protection infrastructure depends on relationships built well before a crisis occurs. You are comfortable operating in both proactive and reactive environments and understand the importance of clear, timely, and consistent communication.

●      You are highly organized, responsive, and able to manage multiple workstreams simultaneously. You know when to move something forward independently and when to bring partners together to make a decision.

●      You communicate clearly, follow through on commitments, and understand that in a fast-moving coalition environment, over-communication is often better than under-communication.

●      You are also comfortable working behind the scenes. Success in this position is not about building a new organization or brand; it is about making an existing ecosystem stronger, more connected, and better prepared to respond.

 

Key Responsibilities

 

Training and Engaging Volunteers in Election Protection Efforts

Provide day-to-day organizing and coordination capacity to strengthen the existing statewide Election Protection network, volunteer recruitment, and training efforts.

 

  • Support recruitment and trainings for coalition members and volunteers to serve as volunteers for election administration advocacy, early voting, election day, and post-election activities, and support recruitment and engagement in activities after Election Protection. 

  • Assist in developing and leading engaging Election Protection trainings for volunteers and community partners 

  • Participate in engaging, nonpartisan education and outreach activities to expand awareness of Election Protection activities before, during and after Election Day.

  • Assist in developing and disseminating Election Protection-related educational resources and toolkits using traditional (print, tv, etc.) and digital communication platforms  

  • Support the implementation of systems to manage volunteers for early voting and election day, including sign-up and placement of volunteers, calling volunteers to engage or re-engage them, etc. 

  • Support collection and reporting of data and information from voters, volunteers, partners, election officials, and other sources. 

  • Share Election Protection educational materials to social media pages to engage members and share accurate information about elections 

 

Support an Always-On Election Protection Boiler Room

Help expand existing Election Protection response operations into a more regular, year-round coordination and rapid-response function.

 

Responsibilities will include:

●      Help maintain an ongoing flow of information about emerging election administration, voter protection, election worker, and other Election Protection issues to our regional hubs.

●      Support regular coordination among local partner organizations responsible for legal, communications, organizing, government engagement, and other response functions.

●      Help triage incoming information and ensure that relevant partners are quickly connected when an issue requires attention.

●      Document decisions, assignments, and follow-up items so that coalition partners have a shared understanding of next steps.

●      Support after-action reviews and incorporate lessons learned into future coalition operations.

 

Support Coalition Communications

Build communications capacity that allows coalition partners to respond quickly and consistently to emerging issues.

Responsibilities will include:

●      Develop and regularly update evergreen Election Protection talking points, FAQs, background materials, and other communications resources.

●      Prepare coalition emails, partner updates, briefing materials, and rapid-response communications as requested.

●      Work with communications partners to maintain a library of materials that can be quickly deployed when issues emerge.

●      Help ensure that communications materials reflect the needs of different audiences, including coalition organizations, community partners, election workers, voters, and other stakeholders.

●      Create adaptable communications assets that coalition organizations can tailor for their own audiences.

 

Additional Responsibilities

Because Election Protection work evolves quickly, the Organizer will also:

●      Participate in regular coalition and partner meetings.

●      Maintain project plans, trackers, calendars, and other tools necessary to keep workstreams moving.

●      Identify emerging needs and recommend ways to strengthen coalition infrastructure.

●      Support preparation for periods of heightened election activity, including early voting, Election Day, certification, and other key moments in the election calendar.

●      Build strong working relationships with state and national Election Protection partners.

●      Take on additional coordination and organizing responsibilities as the needs of the coalition evolve.

 

Qualifications

We recognize that strong candidates may bring different combinations of organizing, coalition, campaign, communications, and project-management experience. We are looking for someone who brings strong judgment, excellent organizational skills, and a commitment to protecting access to the electoral process.

The ideal candidate will have a combination of the following:

●      3+ years of experience in organizing, campaigns, voting rights, democracy work, or a related field.

●      Familiarity with the civic, voting rights, community organizing, or election administration landscape in Western and Central New York.

●      Strong relationship-building skills and experience working with organizations with different constituencies, capacities, and areas of expertise.

●      Excellent project-management skills and demonstrated ability to manage multiple priorities and deadlines.

●      Strong written communications skills, including the ability to quickly produce clear, audience-appropriate emails, talking points, briefings, and other materials.

●      Ability to synthesize complicated information and translate it into concise, actionable guidance.

●      Comfort working in fast-moving environments where priorities may shift rapidly.

●      Experience with rapid-response, campaign, election, or crisis-management environments is a plus.

●      Strong attention to detail and commitment to accurate information.

●      Comfort using tools such as Google Workspace, Zoom, Signal, Slack, spreadsheets, project-management platforms, and mass-email or texting tools.

●      Ability to work independently while maintaining close communication with multiple organizational partners.

●      Ability to work in-person in the state office or at various locations around the state at least 3 days per week, and up to daily during the peak of our season 

●      Access to a vehicle to transport election materials is helpful but not required (miles driven on official business in your personal vehicle will be reimbursed at the federal mileage rate) 

●      Per our nonpartisan policy, organizers may not currently be in elected office (or running for office); on the Steering Committee or Finance Committee for any political candidate; or affiliated with the leadership of a political party

Position Details

Location: New York State with periodic travel within the state.

 

Position Type: 1099 contract through November 15, 2026

 

Expected Work Hours: Full-time, with hours and intensity varying based on the election calendar. Flexibility to work evening and weekend availability during periods of heightened election activity.

 

Compensation:  $63,860- $80,340 annualized, based on experience.
