The Role

The Operations & Program Associate will support Blue Moon Strategies’ Founder & Principal, as well as major clients of the firm. This person will play a key role in keeping work moving across a fast-paced, dynamic environment.

 

This is not just a scheduling role. The Operations & Program Associate manages priorities and will need to operate effectively across a demanding schedule to ensure that nothing falls through the cracks. The right candidate is highly organized, proactive, and can take ownership to help keep others organized and on track.

 

This is a nuanced role that will be critical to supporting work that helps strengthen our clients’ missions and operations.

 

What You Will Do

Manage communications and priorities

•      Assist with principal and clients’ inboxes and draft clear, timely communications to clients and partners

•      Track action items and ensure follow-up across conversations

•      Use tools such as Slack, Signal, and email to keep communication clear and moving

 

Scheduling and time management

•      Manage complex calendars for two to three team members

•      Proactively resolve conflicts and prioritize time based on shifting needs

•      Serve as the main point of contact for scheduling, and coordinate across time zones

•      Work with Principal and key clients to prioritize high-value meeting time. Ensure meetings are well-prepared and purposeful

 

Drive execution and follow-through

•      Maintain systems to track short- and long-term priorities

•      Ensure tasks and commitments are completed on time

•      Step in to problem-solve when plans change or issues arise

 

Support meetings and coordination

•      Attend meetings to take notes, track decisions, and capture next steps

•      Help ensure continuity across conversations and teams

•      Build strong working relationships with schedulers and partners at client organizations

 

Handle logistics and operations

•      Coordinate travel and manage logistics for team members

•      Register staff for events and ensure materials are prepared in advance

•      Handle sensitive and confidential information with discretion and professionalism

 

Client operations and programmatic special projects

·        Assist clients with project management on specific operational needs

·        Own project management of discrete programmatic tasks across a couple of clients

 

What Success Looks Like

•      The principal’s, and key clients’ time is well-managed and focused on the highest priorities

•      Follow-ups are tracked and completed without prompting

•      Team members and external partners experience Blue Moon Strategies as organized, responsive, and easy to work with

•      Work moves forward even in fast-changing situations

 

Skills and Qualifications

The ideal candidate is:

•      Highly organized and detail-oriented

•      Able to take direction once and run with it, owning tasks from start to finish

•      Strong at prioritization and time management in a fast-paced environment

•      A clear and effective writer who can adapt to different communication styles

•      Comfortable navigating ambiguity and making decisions with limited guidance

•      Professional and discreet when handling sensitive information

•      Responsive and flexible, including occasional after-hours availability when needed

•      A doer who focuses on outcomes, not unnecessary process

 

Education and Experience

•      Bachelor’s degree or equivalent experience

•      Experience supporting senior staff in a nonprofit, political, or government setting preferred

•      Interest in elections, politics, or advocacy work is a plus

 

Salary and Benefits

Starting salary range from $55,000 to $70,000, commensurate with experience. Fully paid healthcare premiums, up to 6% 401k match, generous time off and standard holidays, and other benefits available.
