JOB DESCRIPTION

Position Summary

The Operations Associate position is a dynamic job that will see and impact nearly all aspects of Optimize’s internal operations and our clients’ projects. The position sits with our Operations team and reports to the Chief of Staff. This role will be involved in a wide range of tasks related to client projects and internal operations, including client request triaging, meeting preparation, research, and administrative functions. Additionally, the Associate will collaborate with team members across departments to help them achieve their objectives. This role demands flexibility, the ability to solve problems independently, creative thinking, and a strong commitment to continuous improvement.

 

Position Title: Operations Associate

Reports To: Chief of Staff

Duration: This is a cycle-based position that is expected to end on December 20, 2024.

Pay Structure: Salary, paid twice per month on the 15th and final day of the month

Rate of Pay: $50,000 annually

Overtime: Not eligible for overtime.

**Schedule: **Full-time; minimum availability Mon-Fri 9:00 AM to 6:00 PM local time, with irregular hours, including evenings and weekends, occasionally required, particularly close to Election Day

Location: This is a fully-remote position. All employees must be physically located in the United States.

Health Benefits: Optimize provides health, vision, and dental insurance to our employees. We pay 80% of monthly premiums for employees and 40% for dependents.

Other Benefits: Optimize provides 14 paid holidays per year as well as 24 days of paid time off, accrued at a rate of one day of PTO per pay period.

 

Key Responsibilities

**Client support: **Monitor incoming client inquiries, summarize items, and draft responses

Internal preparation: Prepare agendas and take notes during client calls

Administrative support: Perform administrative functions for client processes, including employee onboarding, budget management, and more by working closely with our internal team and leadership.

Research: Conduct research for projects ranging from specific human resources issues to business development initiatives

Documentation: Document all systems, work, and results in Optimize’s internal Knowledge Base and other systems.

 

Qualifications

Experience

  • At least one year of demonstrated success in a fast-paced workplace

Skills

  • Ability to handle time-sensitive situations with a level head

  • Ability to work independently to solve problems, meet due dates, and deliver excellent work product

  • Ability to quickly adopt and adhere to standard operating procedures

  • Proficiency with Google Workspace (formerly G-Suite)
