Job Title: Operations Director - Touch Campaigns

Event Overview:
The 2025 ELSF Convening is a premier event designed for K-12 education curriculum providers, set to take place from October 6-9, 2025, at The Trade Hotel in Milwaukee, WI. With approximately 100 attendees, the event aims to foster collaboration, create networking opportunities, and deliver high-quality educational sessions. The Operations Director will play a critical role in ensuring the success of the event by overseeing the planning, logistics, execution, and post-event evaluation processes.
Role Overview:
The Operations Director will be responsible for overseeing the planning, execution, and post-event analysis for the 2025 ELSF Convening. This role will manage both in-house Touch Campaigns staff and external vendors to ensure seamless event logistics, create a positive attendee experience, and manage operational contingencies. This is a high-impact role that requires strong leadership, attention to detail, and exceptional communication skills.
Key Responsibilities:
Pre-Event Planning & Coordination:
Lead event strategy and logistics planning with Touch Campaigns' senior leadership.
Finalize contracts with key vendors (venue, AV, catering, travel, etc.).
Develop and manage the event timeline to ensure timely completion of milestones.
Oversee the event’s marketing campaign, including registration process and outreach efforts.
Ensure all branding, signage, and materials align with the event vision and goals.
Team Management:
Manage and coordinate event team staff, including Project Managers, Venue Coordinators, AV & Production Managers, and other event support staff.
Create staffing schedules for event execution and provide leadership on-site.
Event Execution:
Oversee day-to-day operations of the event, ensuring smooth registration, session management, and guest services.
Troubleshoot on-site challenges in real time, making necessary adjustments.
Oversee AV setup and ensure seamless technology use throughout the event.
Ensure all signage and event materials are placed and distributed as planned.
Facilitate communication among staff, vendors, and attendees to ensure seamless operations.
Post-Event Evaluation & Reporting:
Lead the post-event debriefing with leadership, identifying key successes and areas for improvement.
Collect and analyze attendee feedback for future insights and planning.
Ensure proper transfer of all event-related documentation, financial summaries, and key learnings to Touch Campaigns and ELSF leadership.
Assist with final payments and reconciliation of all financial aspects.
Vendor & Stakeholder Management:
Serve as the point of contact for all external vendors (AV, catering, travel, etc.) and ensure their timely delivery and service.
Build strong working relationships with event stakeholders to ensure smooth communication and service delivery.
Qualifications:
Bachelor's degree or equivalent experience in event planning, operations, or related fields.
5+ years of experience in event management or operations, with a focus on large-scale conferences, educational programs, or similar events.
Proven experience managing cross-functional teams and large teams in high-pressure, fast-paced environments.
Strong organizational skills and attention to detail.
Exceptional communication and leadership skills.
Ability to manage budgets and negotiate contracts with vendors.
Experience in post-event evaluations and reporting, including managing attendee feedback and financial reconciliations.
Flexibility to manage logistics and solve problems during the event as they arise.
Preferred Qualifications:
Experience with political or educational events, particularly in K-12 education spaces.
Familiarity with event software and tools for registration, logistics, and communication.
Knowledge of the Milwaukee area and local vendors.
Compensation:
$6,000 a month
$500 a month healthcare stipend
Travel and accommodation covered during event execution.
