About the Role

The Operations Director will keep the campaign running day to day. This person will own the systems behind field communications, candidate support, and events, including compliance tracking, literature inventory and reorders, purchasing, vendors, invoices, and internal deadlines. The expectation is simple: staff should have what they need before something becomes an emergency.

 

Compliance Expectations

Compliance is a core part of this job. The Operations Director will maintain the compliance calendar and supporting records, route questions to the campaign treasurer or counsel, and make sure approvals happen before money is spent or materials are printed or distributed. This role is not expected to make legal calls alone, but it is expected to catch issues early and get the right people involved.

 

Core Responsibilities

  • Maintain the campaign's compliance calendar, internal approval deadlines, and required supporting records in coordination with the treasurer, compliance team, and counsel.

  • Collect and organize invoices, receipts, contracts, W-9s, reimbursement requests, approval records, and any contribution or in-kind documentation required by the campaign's compliance process.

  • Route literature, mail, digital, text, and other public-facing materials through the required approval and disclaimer review before production or launch.

  • Track vendor agreements, spending, invoice status, payment deadlines, and outstanding paperwork so nothing sits unresolved.

  • Maintain a current inventory of literature and campaign materials by piece, candidate, district, quantity, and storage location.

  • Set clear reorder points and place literature reorders early enough to avoid gaps in canvassing, events, or candidate distribution.

  • Manage print proofs, quantities, pricing, production schedules, shipping, and delivery confirmation for literature and other materials.

  • Coordinate the distribution of literature, signs, and canvass supplies to regions, districts, candidates, and field staff, with a clear record of what went where.

  • Track campaign supplies and equipment, including clipboards, signs, shirts, tables, chargers, phones, office supplies, and event materials.

  • Lead event and Day of Action logistics, including venue details, supply lists, deliveries, food, sound, staffing, load-in, and breakdown.

  • Manage office and storage needs, shipping, deliveries, staff access, shared accounts, and routine operational troubleshooting.

  • Support staff and contractor onboarding by making sure required paperwork, accounts, equipment, and internal materials are ready on time.

  • Maintain a shared operations calendar covering campaign events, compliance deadlines, production dates, deliveries, payments, and major internal milestones.

  • Build simple checklists and systems that staff will actually use, keep shared files organized, and flag risks before they become last-minute problems.

  • Coordinate closely with field, data, distributed, communications, digital, finance, and campaign leadership so operational decisions match the campaign plan.

Qualifications

  • Experience in campaign operations, compliance support, administration, logistics, or another deadline-driven political environment.

  • Working knowledge of campaign compliance processes and comfort coordinating directly with a treasurer, compliance consultant, or counsel.

  • Strong project management skills and the ability to keep multiple deadlines, vendors, orders, and approvals moving at the same time.

  • Comfortable managing invoices, purchasing, budgets, inventory, vendor communication, and detailed records.

  • Strong Google Sheets or Excel skills and familiarity with tools such as Google Drive, Asana, Airtable, or similar systems.

  • Good judgment with sensitive information and the ability to recognize when a question needs to be escalated rather than guessed at.

  • Calm under pressure, responsive, and willing to handle the unglamorous details that keep a campaign functioning.
