Summary of Primary Functions
The Vice President/Administration is responsible for multiple administrative functions including general office administration, technology, Board logistics, facilities management, operations, maintenance, security, space planning, hospitality services, user experience, equipment procurement, and vendor management at Freedom Forum facilities.
This position requires a strategic leader who can collaborate with various departments and stakeholders to ensure efficient and effective operations. The VP/Administration will possess exceptional organizational and communication skills and a proven track record in implementing administrative strategies and initiatives.
Job Duties including, but not limited to:
Develop and implement administrative policies, procedures, and processes to enhance operational efficiency, hospitality, user experience and compliance.
Plan and coordinate administrative procedures and systems and devise ways to streamline processes; create effective and efficient systems across all administrative areas, as noted above.
Ensure compliance with federal, state, and local regulations related to administrative activities and facilities, including licenses, permits, and certifications.
Lead and manage a team of administrative professionals, providing coaching, mentorship, and performance evaluations; manage staff scheduling, facility coverage and project deadlines.
Manage the administrative budget, including monitoring expenses and implementing cost-saving measures when appropriate, and oversee the organization and maintenance of administrative records and vendor agreements.
Provide strategic guidance and support to the senior leadership team on administrative matters and contribute to the overall strategic direction of the Freedom Forum; serve as a liaison between senior leadership and other departments to ensure effective communication and alignment of administrative objectives.
Oversee evaluation and recommendation of new technologies and software systems to enhance administrative processes and capabilities.
Monitor and analyze key performance indicators related to administrative functions, prepare reports and presentations for executive review.
Along with the administration team, ensure (1) the delivery and implementation of IT products and technical services; (2) facilities operations are within a secure, efficient and organized work environment; and (3) the meaningful engagement of the Freedom Forum Board of Trustees, primarily related to meeting logistics.
Required Qualifications:
Bachelor's degree in business administration, management, or a related field. A master's degree is preferred.
Minimum of 15 years of progressive experience in administrative leadership roles.
Proven track record of implementing successful administrative strategies and initiatives.
Effective communication and presentation skills, both written and verbal, with ability to appreciate various viewpoints, share relevant information in a timely manner, and maintain a high level of professionalism.
Strong understanding of federal, state, and local regulations related to administrative functions.
Exceptional leadership and management skills, including the capacity to develop, inspire, and retain staff.
Prior experience assessing organizational needs and developing and implementing policies, systems, and processes.
A track-record of successful management and implementation of technology solutions; knowledge of technological trends.
Keen analytical and problem-solving skills that enable sound strategic decision making; resourcefulness in setting priorities and guiding investment in people and systems.
Strong professional judgment and ability to maintain confidentiality and build trust among staff.
Demonstrated ability to work collaboratively with a strong leadership team and a committed staff.
Salary: $190,000 to $195,000 plus benefits
**Location: **Washington, DC. At least 80% of time onsite in Washington, DC or Laurel, MD
